Client Service Specialist
Job Description
- Client service specialist with some crossover responsibilities, including paraplanning, customer service, marketing, and administrative tasks
- Full-time W2 salaried position
- 100% remote role with access to Boston office
- Reports to operations manager
- This role offers a flexible schedule, with the ability to set some of your working hours - but generally, all BYH team members are working and expected to be responsive Monday through Friday from 8am to 5pm
- Base pay: $55,000-$70,000 dependent on experience
Requirements & Nice-to-Haves
- 2-5 years of operational/customer service experience required, with a preference for 1-2 years experience at a financial planning firm
- Associates degree required; 4-year college degree preferred
- Strong preference for familiarity with Charles Schwab as custodian/investment platform
- Familiarity with Hubly is a big plus (or mastery of other project management software like Asana, Trello, Notion, etc)
Responsibilities:
- Serve as clients' primary point of contact alongside their advisor, and maintain positive client relationships
- Monitor client satisfaction and implement improvements based on client feedback
- Manage team and client schedules, meetings, conferences, and travel arrangements
- Facilitate the onboarding process for new clients
- Provide administrative assistance to the team and handle special projects
- Manage custodial paperwork, forms, and documents as part of investment management workflows (to open investment accounts, transfer accounts, update addresses, change beneficiaries,
- Execute client contributions and move money requests on custodial platform
- Gather client personal and financial information as required to generate account paperwork and documents or update financial plans
- Manage client files to assist advisors in processing information (from paystubs, tax returns, etc)
- Update and track client action items between meetings
- Maintain up-to-date client agendas between meetings
- Assist advisors in preparing upcoming client meetings
- Assist in the preparation of compliance reports and regulatory filings
- Maintain accurate and up-to-date client information in CRM and other systems
Skills:
- Excellent written communication skills - must be able to process a large volume of information via email and Slack messaging (versus relying on verbal instructions)
- Good sense of time management and ability to create and implement personal structures to stay productive and focused in a remote work environment
- Willingness and ability to learn new software programs and tech platforms
- Able to work independently and self-manage tasks and projects, while participating in team work when required
- Baseline financial planning knowledge and familiarity with basic planning and investment concepts
- Attention to detail and ability to properly sort and prioritize tasks
- Ability to independently solve problems and incorporate various considerations into new planning situations
Compensation & Benefits:
- Base pay: $55,000 - $70,000 depending on experience
